- Reception and telephone inquiries dealing with various city regulations:
- Answer and respond to all incoming calls and web enquiries related to Public Works, Engineering, Transit, Building & Bylaw programs and services (i.e.: waste management, snow removal, leaf collection, various permits, pothole complaints, bylaws complaints building inspections, etc.)
- Address walk-in customer enquiries.
- Take payment for sale of various items/goods through Great Plains database (bag tags, composters, rain barrels, building permits, parking tickets, transit passes, water metres, legal clearance letters, etc.)
- Provides administrative support to the City Engineer’s Office, as required including:
- Data entry and basic data analysis (i.e.: para-transit cash bag reconciliation, water exemption certificates, municipal parking lots, overnight & temporary overnight parking passes, pothole complaints, winter snowplow complaints and.
- Receive and process bylaw complaints entering details into Cloudpermit database.
- Process payment of parking tickets and other by-law notifications, which includes Notice Impending Conviction and Certificate Requesting Conviction mailings through Hotspot Parking database
- Conduct property file searches and prepare legal property clearances letters, including confirmation of zoning, building/work order report, , and site plan control and subdivision agreement letters for CBO to review and sign off on.
- Act as Commissioner of Oath to accept and take payment for minor variances, ensuring building technician has reviewed application for outstanding issues, then forwards completed application to Clerks Department to begin public notice process and add to Committee of Adjustments meeting agenda.
- Schedule building inspections in Outlook calendars and Cloudpermit, and at times required to coordinate these inspections to include Water Department staff.
- Process incoming mail/couriers and distribute mail/faxes/open & close debit machine
- General filing, photocopying, faxing, setting up courier pickups, etc.
- Assist Building Department with returning building permit damage deposits.
- Other duties as assigned
Qualifications:
- College Diploma in General Business Administration or equivalent as determined by the Corporation.
- Proficient in MS Office and Outlook.
- Excellent customer service and communication skills to deal effectively with the public and staff.
- Strong written skills.
- Strong organizational and time management skills; able to handle fluctuating work volumes.
- Working knowledge of municipal processes would be an asset.
Working Conditions:
- The City of Woodstock is a fully in-office workplace where employees are expected to work on-site.
- Typical public office environment dynamics.
- Work is subject to frequent interruptions to provide information to staff and outside contacts.
- Required to deal with the occasional irate citizen.
- Observes regular office hours and overtime as required.
