Reporting to: Manager of Aquatics

Classification: PERMANENT, Full Time; Non-Union
Salary Range: $71,475.79 - $85,128.85
Hours of Work: 35 hours per week including evenings and weekends. Weekday hours will be 12:00p.m. to 8:00p.m. Weekend hours will be scheduled as required, in coordination with the Manager of Aquatics, and will be 8:00 a.m. to 4:00 p.m.

Summary of Position:
The Aquatic Coordinator is responsible for overseeing the day-to-day delivery and administration of aquatic programs and services, while providing leadership to a diverse team of aquatic and facility staff. This position coordinates the operation of the City of Woodstock’s Learn to Swim program, aquatic leadership programming, staff scheduling, training, and program delivery, while ensuring compliance with all applicable legislation, regulations, standards, and corporate policies. The Aquatic Coordinator also supports customer service excellence, promotes a positive and team-focused work environment, and contributes to the safe, efficient, and effective operation of the aquatic facility.

Duties and Responsibilities:
  1. Oversee the City of Woodstock’s Learn to Swim program, including planning, delivery, evaluation, and continuous improvement.
  2. Develop, implement, monitor, and evaluate aquatic programs and services to ensure alignment with community needs, corporate objectives, and governing body standards.
  3. Provide day-to-day leadership, supervision, and operational guidance to aquatic, customer service, custodial, and facility staff.
  4. Coordinate the recruitment, onboarding, training, scheduling, mentoring, and performance management of part-time aquatic staff.
  5. Develop and deliver annual and sessional staff training, orientation, and aquatic leadership programs, and maintain required documentation for the Lifesaving Society.
  6. Monitor staff certifications and qualifications to ensure all required credentials remain valid and current.
  7. Manage the purchase, maintenance, and inventory of safety equipment, program supplies, uniforms, and other operational materials.
  8. Support customer registration processes, monitor enrolment and waitlists, process refunds and bookings, and maintain program data in PerfectMind.
  9. Develop and implement special events, promotional initiatives, and community engagement opportunities related to aquatic services.
  10. Plan and support special events, promotional initiatives, and program communications in collaboration with the Communications Department.
  11. Respond to customer inquiries, concerns, and complaints in a professional, timely, and solution-focused manner.
  12. Support facility operations by responding to building emergencies and serving on-call at Southside as required.
  13. Attend staff meetings, training sessions, and professional development opportunities, and ensure compliance with applicable legislation, policies, procedures, standards, and guidelines.
  14. Promote a respectful, inclusive, safety-focused, and collaborative workplace culture.

Qualifications:

Essential
  • Post-secondary education in Recreation and Leisure Services, or an equivalent field.
  • Valid Ontario Class G driver’s licence.
  • Successful Vulnerable Sector Screening.
  • Current aquatic certifications, including: Aquatic Supervisor Training, Standard First Aid with CPR-C, Pool Operator Certification, National Lifeguard, Swim and Lifesaving Instructor, Emergency First Aid Instructor, and Airway Management.
  • Current examiner certifications in Bronze, Standard First Aid, and National Lifeguard.
  • Current instructor certifications in Standard First Aid and National Lifeguard.
  • Swim/Lifesaving Instructor Trainer certification.
  • HIGH FIVE certifications, including Principles of Healthy Childhood Development and Quest 2
Preferred
  • Four-year degree in Recreation, or an equivalent four-year degree.
  • Examiner Mentor status.
  • Lifesaving Society Coach Level 1, or other additional instructor, examiner, or trainer certifications, considered an asset.
  • High Five: Quest 1 – assessment tool for evaluating policies and procedures in recreation programming.
  • Health and Safety Certification Levels 1 and 2.
  • Thorough knowledge of Public Pool Regulation 565.
  • Extensive experience delivering aquatic leadership courses.
  • Working knowledge of PerfectMind or ActiveNet software.
